“Sort passport” is vague. “Check passport expiry and renew if needed” tells you what to do. Good task wording reduces the mental effort required when the reminder returns.
Choose a useful trigger
Use a deadline when one exists and a review date when it does not. Give yourself enough lead time for tasks involving another organisation, postal documents, appointments or decisions.
Review what has not moved
Some tasks are not forgotten; they are repeatedly postponed because the next step is unclear. A weekly review exposes those items so you can redefine, schedule, delegate or drop them.
