Get everything out of your head
Start by collecting the loose ends that keep resurfacing: renewals, forms, appointments, calls to make, documents to find and things you are waiting for. Capture them in one trusted place before trying to organise them.
Sort by what needs to happen next
Separate active actions from reference information. Give each active item a clear next step, a useful date if one exists, and enough context to understand it later.
Track dates that actually matter
Record deadlines, expiry dates and sensible review dates. Avoid adding arbitrary reminders to everything; too many alerts make the important ones easier to ignore.
Use a short regular review
A brief weekly check is usually more useful than a major monthly clear-out. Look for overdue actions, items waiting on someone else and anything approaching a deadline.
